Kroger supplier onboarding: document checklist

This guide uses Kroger's public Supplier Hub page, checked September 7, 2026. It covers supplier onboarding documents, not deduction codes, a dispute portal or deadlines. LogLyn does not represent Kroger.

Supplier Hub distinguishes prospect and vendor profiles. Once a vendor profile is approved, the next stage is item or payment setup depending on the product/service. Record each stage separately.

Gather the applicable document set

Kroger's public preparation list includes a DUNS identifier, the organization's W8 or W9, a certificate of insurance, and diversity certifications where applicable. Additional requirements depend on product/service category.

Retail vendors need a signed Standard Vendor Agreement; other categories have their own agreements or addenda. Verify your category and current instructions. Signing stays with an authorized person; tax and insurance questions stay with the responsible adviser.

  • Record prospect/vendor profile, current status and observation date.
  • Identify the product/service category; do not interchange retail, manufacturing and service lists.
  • For each document, record its applicable requirement, owner and secure file reference.
  • Check entity name, version, validity dates and required authorization. Keep missing or conflicting items visible.
  • Keep actual files private; omit tax identifiers, bank details and full document contents from coordination copies.

Separate readiness from payment

Use a readiness row: document type, category, source requirement, present/missing, verification needed, owner and next action. These are working suggestions, not a mandated upload template.

Separately record profile completion, Kroger approval, item/payment setup, invoice submission, acceptance and cash receipt. Mark only states backed by confirmation; leave the rest unknown.

Worked example: one document missing

Fictional retail supplier; no real tax, insurance or signed documents. Assume three required slots: applicable tax form, signed vendor agreement and certificate of insurance. The first two have placeholders; insurance is missing. Optional and additional category requirements are excluded from this exercise.

Output: three slots, two present, one missing. A placeholder is not proof of authenticity, validity or authorization. Assign the missing record to the insurance-document owner. Profile approval, payment setup and invoice payment remain unknown; no payment amount or recovery is claimed.

Stop at unverified requirements

Recheck the public page and authorized-account instructions. A generic checklist does not establish category completeness or Kroger approval. A deduction question separately needs invoice, remittance, deduction detail and applicable agreement; Supplier Hub guidance does not establish its dispute route.

The customer controls signing, account changes and submissions. If gaps prevent a supported assessment, request records before a proposal. Describe the gap without sensitive details and arrange minimum files securely; never send tax forms, bank details, credentials or agreements through the inquiry.
