Whether the invoice reached the right contact, with the right supporting detail, and when. Gaps here create disputes before collections even starts. Most companies do not know they have a gap until the customer pushes back.
Collections Log
What follow-up happened, who was contacted, when, by what channel, and what the outcome was. A clean record of what has and has not been done on each open invoice.
Payment Match Record
Which payments came in and got applied, which ones are still unmatched, and what cash is sitting in a queue. When remittances are missing or incomplete, this is where things pile up.
